Yes, agreed, do this and always account for emergency tunings, repairs etc.
I do not have this listed on my contracts.  Mostly because I had not thought
of it!  Good point!  

 

Here is that I say in a separate letter attached to, the contract:

 

Attached is a contract as requested which confirms our agreement concerning
the servicing schedule of the church pianos.  Please check the piano
information and schedule that is listed and write in any corrections or
changes according to your preference.  On the contract, I have also listed
the terms we have agreed upon.  If the contract is agreeable to you, please
signify your acceptance of this arrangement by affixing the signature of the
person or persons responsible for the pianos on both copies attached (one
for their record, one for mine) and return a copy to me.  If you should need
service in between the scheduled times, just call me.

 

Maintaining a regular tuning schedule will help prevent costly damage and
prolong the lives of the pianos. This contract will also serve the purpose
of relieving the ever-changing music committee of determining each year when
the pianos were tuned last and who should be called.

 

I would like to obtain a church key, if possible.  I have many church keys
which eliminates having to make sure someone has the door open on a specific
day and time.  It also insures that I will not have a wasted appointment
should someone forget and will eliminate an additional cost to you should
this take place.

 

With this contract/key set-up, I would come on an automatic basis.  I would
simply clear my appointments, if necessary, with the church secretary or a
specified person to make sure there are no conflicts, and then let myself
in.  Would you please attach a note with the name and phone number of the
person, if anyone, thru whom I should clear my appointments and your
arrangements concerning a key.

 

Thank you for your consideration of this matter.  I have enjoyed servicing
your church pianos these past years and I anticipate a continuance of our
business relationship. 

 

Please place this contract in a safe place accessible to future committees.

1. All repair work, unless it is of a minor nature, will be brought to the
attention of the person in charge for approval before work is begun.

 

2.  My basic current price rate for tuning is _______ per piano.  Additional
cost may be incurred when a piano is not tuned regularly or a different
piano is acquired.  In these cases, a raise in pitch may be needed or a
piano may be in poor condition, both of which require more work and time to
tune.  The extra cost will not exceed $__________ over the basic rate.  I
reserve the right to increase my prices once per year or, once every other
year as necessary. I will notify you in advance of any price increases.  

 

3.  You will receive a 10 % discount off the price of the tunings IF 2 or
more pianos are scheduled and tuned in one day.

 

4.  In the case that I am not granted a key and the building is locked for a
scheduled appointment, I reserve the right to charge for a failed
appointment. (This usually gets me a key)  Also, if your location is outside
of Grand Rapids, a charge for mileage expense and my time on the road may be
added.  

 

5.  My secretary will initiate the appointments and G. W. Groot Piano
Service Inc., will tune the pianos listed below according to this schedule.

In addition to the emergency repairs, regulations, etc, you should also have
something in there about tuning for special events: How much they will be
and what kind of notice you need.  And last, but not least, you want an
escape clause that allows you to discontinue tuning their pianos, and allows
them to stop using you to tune. This is important. You don't want to be
beholden to them if they are not providing you with a quiet room or
sanctuary, or that they pay you in 3 months instead of 14 days, or that they
got a couple more pianos that are not tunable. And you want to the church to
cancel the contract if they feel they are not getting the kind of service
they thought they were getting. Both cancellations need to be in writing,
giving several weeks notice.

have never done this before (normally I just phone to arrange the tunings
every four months), but I was thinking a contract might look something like

Service contract between John Doe Piano Service and First Self-
Righteous Church

 

John Doe Piano service agrees to provide 12 tunings during the calendar year
2011 to First Self-Righteous Church, at a rate of $xx per tuning.  The
turnings will be done quarterly, with three tunings to be provided on or
about the first business day of March, June, September and December.  First
Self-Righteous Church agrees to remit quarterly payments by check in the
amount of (3 times $xx), payable within 14 days after the tunings have been
done.  This rate is guaranteed through Dec. 31, 2011 and includes tuning
only.

How does that look?  Should I add or delete anything?  I suppose I will
print out something like this and arrange to meet with the folks at the
church, give them the opportunity to suggest any changes, and then print two
copies of the final version to be signed, one for my files and one for them
to keep.
