Same system in place here. The card access system is a real benefit in controls.
Typically, creative minds always seek ways around all systems. Education and constant vigilance is always helpful. 
It's very interesting to me how whenever something gets damaged that cagey character "Not Me" is always to blame.
Some day I hope to meet him or her. Let me know if you have one of his relatives in your neck of the woods.  =)

We have a practice room area that is card-reader controlled. A university ID card has to be swiped for access, and the individual card has to be on the data base for the area. Only students who are taking certain courses (particularly applied music, but some others as well) are in the data base, along with faculty/staff.	Some rooms are keyed, including grand piano rooms. Only piano majors can get those keys. Percussion has some rooms as well, and there are some miscellaneous keyed rooms. As well as 25 or so unlocked practice rooms - but you had to get into the practice area with your card. The locked rooms are scheduled pretty tightly	The card reader thing was a response to safety concerns, as homeless people had set up camp from time to time in a couple rooms, and there were incidents of one sort or another with vagrants. The whole system works pretty well. The music secretary handles the ID card database, and the recital hall manager handles keys (as well as lockers and other similar things). Keys are actually issued by the lock shop, but the hall manager gives the student an authorization card to get a key. And then the name of the student is tracked, and if a key isn't turned back in when required, the student's account is frozen (meaning inability to register for classes, no transcripts, etc until the freeze is cleared).

Your students have practice room keys?  How does that work out for you?  Since we have non-students, non majors using the pianos.. doesn't that make for some sort of state/taxpayer problems?  That's my fear...besides the hassle of issuing keys, etc.  I'm interested in finding out the logistics of this endevour...Do the students also sign up for certain practice times or is it a free for all? 
 
ps;  I met Steve yesterday to discuss the Steinway D at the Lied Center.   Great guy and I think y'all will get the job!

After several weeks of verbal warnings at the beginning of each semester, I finally walk around with a clip board every now and then, asking the offender to show me a student ID. After entering their info on the clipboard, I tell them  if they have another violation we'll take away practice room keys! That seems to intimidate them enough.
 
 I'd have to be sure we CAN do something like that, as it's never happened.
